Using the Request Items Tab

The Request Items tab displays by default when you open an organizer. This tab lists the items you would like the clients to complete.

  • Sections group together related requests. You can customize the organizer sections in a way that works best for you and your client.
  • Rows in a section are specific requests for your client to complete. Add a row for each item you want the client to provide for the engagement. If you have a form or template that you want the client to complete, you can attach these files to a request item row as well. ClosedTell me about the columns in the request item rows.
    • Attachments. Displays the number of files attached to the request item, if any. Hover the pointer over the number to see the name of the file attached most recently and the date and time it was attached. Click this number to download the attachments to a ZIP file. A green circle displays when another user adds an attachment and you refresh your copy of the organizer. Hover the pointer over the circle to display the number of new attachments. See Request Items Tasks below for more information.
    • Notes. Displays the number of notes for the request item, if any. Hover the pointer over the number to view the content, author, and the date stamp of the most recently added note. A green circle displays when another user adds or edits a note and you refresh your copy of the organizer. Hover the pointer over the circle to display the number of new attachments.
    • Due Date. Displays the due date assigned to the request item, if one was assigned. If a Pending or Rejected request item row or the overall organizer due date has passed, an icon displays. See Assigning Due Dates for more information about due dates.

Note

  • If an organizer has been sent to the client at least once, any subsequent changes made to the organizer are available for review by all organizer users, without having to click the Send button. As a best practice, however, we recommend that both firm and client users click Send or to notify each other that changes have been made.

Filtering the Request Items List

The top row of the Request Items list displays completion state filters. Click a completion state filter to quickly locate all the request items in that state. This feature allows your client to focus on Pending and Rejected items that need their attention.

The number of items currently in a completion state display next to that completion state filter. See Update the completion state of a request item. below for more information about completion states.

Managing Sections and Request Items

You can manage sections and request items individually using the tasks in the sections below. You also have the option to upload a request list that will replace the existing list entirely. The request list you upload can be one downloaded from another organizer, or it can be one set up in a CSV file separately.

When your clients receive your requests, they can upload files to the specific rows, and then send the organizer with attached files back to you. Clients can attach multiple individual files to a request item, or they can attach a single ZIP file that contains all the needed files.

When your client or another firm user adds or edits a request item row and you refresh your copy of the organizer, a or badge displays.

  • To remove an individual or badge, click the in the badge.
  • To remove all of the or badges on the Request Items, Notes, and Attachments tables, click Clear at the top of the Request Items table.

Section Tasks

ClosedCollapse or expand sections.

  • To collapse or expand all sections in the organizer, click or in the top row.
  • To collapse or expand a single section, click or in that section row header.

ClosedAdd a section.

  1. Click Add Section.
  2. Enter the name of the section and select where the section should display in relation to other sections.
  3. Click Save.

ClosedEdit the section name or change where the section is sorted.

  1. Click the More menu button in the section header row, and then select Edit section settings.
  2. Make the necessary changes.
  3. Click Save.

ClosedDelete a section.

Warning: When you delete a section, all request item rows, files, and notes in that section are permanently deleted.

  1. Click the More menu button in the section header row.
  2. Select Delete section
  3. Click Yes to confirm the deletion.

Request Items Tasks

ClosedAdd a request item.

  1. Click the More menu button in the section row where you want to add a request item.
  2. Select Add request item.
  3. Enter the request item description.
  4. If needed, assign a due date. This due date can be different than the organizer due date.
  5. If needed, choose where to display the request item in relation to other request items in this section.
  6. Select whether the request item is Pending or Not Applicable.
  7. Click Save.

ClosedEdit a request item.

  1. Click the More menu button for the request list item you are editing.
  2. Click Edit request item settings.
  3. Edit the request item description, due date, or sorting location as needed.
  4. Click Save.

ClosedSet a due date for multiple request items.

  1. Select the request items you want to assign a due date to by doing either of the following:
    • To select individual request items, click each item row.
    • To select all items in a section, click the More menu button in the section header row, and then select Select all request items.

    Note: Selected rows have a blue background. Click a selected row a second time to toggle off the selection.

  2. Click the More menu button in the top row of the request items table, and then select Set request item due date.
  3. Enter the due date to use for all the selected items.
  4. Click Save.

ClosedDelete a request item.

  1. Click the More menu button at the end of the request item row.
  2. Select Delete request item.
  3. Click Yes to confirm the deletion.

ClosedAdd a note.

  1. Click the More menu button at the end of the request item row.
  2. Click Add note.
  3. Enter information for the note.
  4. Click Save.

Note: To view, edit, or delete existing notes, click the Notes tab to the right of the Request Items tab. See Using the Notes Tab for more information.

ClosedManage attachments.

Individual attachments must be 20 MB or less. If you attempt to upload a file that is too large, the icon displays. Up to 99 attachments can be added to a single request item.

Attachments are available as soon as the upload process is complete. It is a best practice, however, for both firm and client users to click Send or to notify each other that there are new attachments

Note: This section includes instructions for viewing, uploading, downloading, or deleting attachments for a particular request item row. For information about managing attachments for the entire organizer, see Using the Attachments Tab.

  • ClosedUpload an attachment.
    1. Click the More menu button at the end of the row.
    2. Select Manage attachments.
    3. Do one of the following:
      • Drag files from your desktop or from File Explorer to the DRAG AND DROP FILES HERE area.
      • Click Browse to select one or more files in the Open window, and click Open.
      • Notes:

        • If you are using Microsoft® Internet Explorer® 11, you must browse to select the files.
        • If needed, click to remove an individual file from the Upload Queue. Click Clear to remove all files in the queue.
    4. Click Upload.

    Files uploaded by your client also display on the Attachments tab. When your client or another firm user uploads attachments and you refresh your copy of the organizer, a badge displays for the item in the Attachments table.

  • ClosedDownload a specific file for a single request item row.
    1. Click the More menu button at the end of the row.
    2. Select Manage attachments.
    3. Click the link for the specific attachment you want to download.
  • ClosedDownload all files for a single request item row.
  • Click the number in the Attachments column. If multiple files are attached, a ZIP file is created.

  • ClosedDownload files from multiple request items.
  • Do either of the following as needed:

    • Download all files for multiple request item rows. Click Download at the top of the request items table.
    • Download all files for specific request item rows. Click the request item rows to select them, and then click Download. Attachments for all selected rows are downloaded in a single ZIP file. When you unzip the file, the individual attachments are extracted into folders for each section.
  • ClosedDelete an attachment.
    1. Click the More menu button at the end of the row.
    2. Select Manage Attachments.
    3. Click next to the attachments you want to delete.
    4. Click Yes to confirm the deletion.

ClosedUpdate the completion state of a request item.

Both you and your clients can update the completion state of a request item.

  • When a request item is created, it can be marked as Pending or Not Applicable. Your firm might want to mark some request items from the template as Not Applicable.
  • When your client has uploaded all of the required attachments for a row, the client can mark the completion state as Completed.
  • A firm user can then change the completion state to Accepted or Rejected.

To update the completion state of a request item: 

  1. Click the More menu button at the end of the request item row.
  2. Select to mark the item as pending, not applicable, accepted, or rejected.
