Using the Attachments Tab

All attachments for an organizer display on the Attachments tab. You can upload, download, or delete attachments for a request item on this tab. If CCH® ProSystem fx® Engagement release 2019.2.1 or later is installed on the computer where you are working with Engagement Organizer, you can also add attachments as workpapers in a tab of the associated binder.

Notes

  • When another user adds an attachment and you refresh your copy of the organizer, a badge displays for the new file. Click in a badge to remove an individual badge. Clicking Clear on the Request Items tab will remove all badges on the Request Items and Attachments tabs.
  • Attachments for individual request items can also be managed on the Request Items tab.

Working with Attachments in the Organizer

Attachments are grouped by section and request item on the Attachments tab so that you can see at a glance which request items are still pending. If needed, you can filter the Attachments list to show specific sections with their associated request items and attachments.

ClosedFilter the attachments tab.

  1. Click Filters above the Attachments list.
  2. Select the Closedfilter criteria you want to use, if any.
    • Sections. You can select to view attachments for a specific section or for all sections.
    • Request items. You can select a view that includes all request items, request items with attachments, or request items without attachments. You can further narrow the request items by selecting to show only request items for a certain completion state.
    • Attachments. You can select to show or hide attachment rows in the list. If you are a firm user, you can also select to view only attachments that have not already been downloaded by a firm user or that have not already been added to the binder by a firm user.

    Note: Click Reset at any time to return to the default filter settings.

  3. Click Close to return to the list.

ClosedUpload attachments.

Individual attachments must be 20 MB or less. If you attempt to upload a file that is too large, the icon displays. Up to 99 attachments can be added to a single request item.

To upload an attachment:

  1. If needed, filter the Attachments list to display the request item row for which you want to upload attachments.
  2. Do one of the following:
    • Drag files from your desktop or from File Explorer to the Upload box on the request item row.
    • Click the Upload link on the request item row. Then, either drag files to the window or click Browse to select files to upload. If browsing, select the files to upload, and then click Open.

    Notes:

    • If you are using Microsoft® Internet Explorer® 11, you must browse to select the files.
    • If needed, click to remove an individual file from the Upload Queue. Click Clear to remove all files in the queue.
  3. Click Upload.

Tip: Attachments are available as soon as the upload process is complete. It is a best practice, however, for both firm and client users to click Send or to notify each other that there are new attachments.

ClosedDownload attachments.

Do either of the following:

  • Download a single file. Either click the file name or click at the end of the attachment row.
  • Download multiple files at one time from an organizer, a section, or a request item. Click one of the buttons described below. The buttons in the top row of the Attachments table download files from the entire organizer. The buttons in the row for a section or request item download files for that section or request item.
    • Click to download all files for the organizer, section, or row.
    • Click to select to only download files that either you have not yet downloaded or that any firm user has not yet downloaded for the organizer, section, or row.

When you download multiple attachments, the files are packaged in a single ZIP file. When you extract the ZIP file, the individual files are placed in a folder for the section of the request item.

Note: Once a file has been downloaded, the icon displays below the upload date. When other firm users refresh the organizer, they will also see the icon. Hover the pointer over the icon to see who has downloaded the file and when they downloaded it. If a client has downloaded the file, the client email address displays. If another firm user downloaded the file, a generic firm user is listed.

ClosedDelete attachments.

Warning: Deleted attachments cannot be recovered.

  1. Click at the end of the attachment row.
  2. Click Yes to confirm the deletion.

Adding Attachments as Workpapers in a Binder

If Engagement release 2019.2.1 or later is installed on the computer where you are using Engagement Organizer, you can add an individual attachment as a workpaper in a tab of the associated binder. You can also add multiple attachments for the entire organizer, for a section, or for a request item as workpapers in the tabs of the associated binder. The attachments are added to a Binder Queue where you define the workpaper properties for each attachment prior to sending them to the binder.

ClosedAdd attachments to the Binder Queue.

  1. Click at the end of the organizer, section, request item, or attachment row. This icon is not visible if you don't have Engagement release 2019.2.1 or later installed.
  2. If you are attaching files for an organizer, section, or request item, do the following in the Edit Workpaper Properties window:
    1. If you only want client-uploaded files added to the binder, select the Include only client user uploaded attachments (firm user uploaded excluded) check box. If the check box is not selected, both firm-uploaded and client-uploaded files are added to the binder queue.
    2. Select the tab to which the attachments should be added in the binder.
    3. Select the roll forward setting that should be assigned to each workpaper in the binder.
    1. Click Save to open the Binder Queue.
    2. Note: Only files that have not already been added to the binder are added to the Binder Queue, unless you chose to add an individual attachment to the queue.

      Important: When the Binder Queue displays initially, it must retrieve the list of tabs and workpapers in the binder. If the binder has many tabs or workpapers, this process could take several seconds.

    ClosedPrepare to send files to a binder in the Binder Queue.

    1. Review the Binder Queue and make any changes as necessary. You can do any of the following:
      • ClosedEdit the workpaper properties for attachments before sending them to the binder.
      • Add more attachments to the queue. Click on the left to expand the Attachments list. You can then click for a different section, request item, or attachment to add to the binder queue.
      • Remove an attachment from the queue. Click next to the attachment.
    2. When you are ready, you can send attachments to the binder.
      • Click next to an individual attachment to add only that attachment to the binder.
      • Click Send to Binder at the top of the queue to send all attachments in the queue to the binder.

      Important

      • The send process can take several seconds to several minutes, depending on the number and size of attachments.
      • While the binder queue is adding attachments to the binder, do not perform other work in the organizer or the queue. Performing other work will cause the process to stop automatically and the Binder Queue to close.
    3. After adding the attachments to the binder and before closing the Binder Queue, scroll through the items in the queue. One of the following statuses should display below the Roll forward field for each attachment:
      • Success indicates the attachment was added as a workpaper in the binder.
      • Failed indicates the attachment was not added as a workpaper in the binder. Hover over the information icon to determine why the failure occurred.
      • Not sent indicates the attachment was skipped during the send process. Click Send to Binder again to resend the attachment.
    4. After the attachments are added to the binder, click Close Queue at the top of the queue. If there are any processes running when you close the Binder Queue, those processes will end.
    5. Note: Once an attachment is added to the binder, the icon displays beneath the upload date for that file on the Attachments tab. Attachments that have already been added to the binder are not included in the Binder Queue when you choose to add them at the organizer, section, or request level.
