Managing Firm Users Assigned to an Organizer

Firm users can be added to an organizer by selecting the binder in CCH® ProSystem fx® Engagement and clicking the Engagement Organizer action on the Tools menu. You can then manage the firm users assigned to the organizer.

Every organizer must have a firm user who is designated as the primary contact for the organizer. This user's Engagement Organizer email settings appear in the body and signature of the document request emails sent to clients. When you open the organizer, you can see the name of the primary user under the Firm Users label in the upper left part of the page. The number badge next to the primary user's name indicates the total number of firm users assigned to the organizer. You can hover your mouse over the number to view the list of firm users.

To manage the firm user settings in an organizer, do the following:

  1. Open the organizer, if it isn't already open.
  2. Click Firm Users in the upper left part of the organizer page to open the Organizer Firm Users window. All the firm users assigned to the organizer are listed.
  3. Do any of the following as needed: 
    • ClosedChange the primary firm user.

      By default, the first firm user assigned to an organizer will be the primary firm user. Use this procedure to set a different primary user.

      1. Select the firm user who should be the primary contact for the organizer.
      2. Click in the Actions column and select Make user the primary.
    • ClosedOpt a firm user out of receiving emails from clients.

      Firm users who opt out of receiving client emails can still work in the organizer. They just will not receive the email notifications when the client makes changes in the organizer. The primary firm user cannot opt out of receiving client emails.

      1. Select a firm user in the list other than the primary firm user.
      2. Click in the Actions column and select Opt-out for email from client.
    • ClosedUnassign a firm user.

      The primary firm user cannot be unassigned from the organizer. To unassign the person who is the current primary firm user, first change the primary firm user to a different person.

      1. Select any firm user other than the primary firm user.
      2. Click in the Actions column and select Unassign from organizer.
  4. Click the X to close the Organizer Firm Users window.

Note: If needed, the Engagement Default Admin (ADMIN) can remove a firm user from all organizers that user is assigned to in one action. This option is available only if your firm uses Engagement 2019.2.6 or newer versions. See Unassign a Firm User from All Organizers for more information.
